General & Eligibility
Q: What is Notewise for Schools & Businesses?
A: It's a volume licensing program for educational institutions and commercial organizations, providing lifetime access to Notewise Unlimited features on Android and iOS devices for users within your verified email domain. Licenses are a one-time purchase and are managed centrally.
Q: How do I join or start the setup process for my organization?
A: Go to https://business.notewise.dev and sign in using your official work or school email address (e.g., @yourschool.edu, @yourcompany.com). The system will guide you through the onboarding process if your domain is new.
Q: How is this different from the individual Notewise Unlimited license?
A: Both the Business/School program and the individual Notewise Unlimited license offer lifetime access via a one-time purchase. The key differences are:
Discount: The Business/School program offers licenses at a significant volume discount.
Management: Business licenses are purchased as a pool and managed centrally by administrators via the portal (license limits, policies, user/device tracking). Individual licenses are purchased and managed by the end-user.
Eligibility: Business licenses are tied to your organization's email domain.
Licensing & Cost
Q: How are licenses priced? Is there a discount?
A: Licenses are a one-time purchase granting lifetime access per activated device. This program offers up to 40% off compared to the standard individual lifetime price. The current discounted price is $9.99 USD per license (individual price $16.99 USD). Prices are subject to change.
Q: Is there a minimum purchase required?
A: Yes, an initial minimum purchase of 20 licenses is required to activate your Business/School account after setup.
Q: Can I purchase more licenses later?
A: Yes. Administrators can purchase additional licenses at any time through the admin portal, in minimum batches of 10 licenses.
Q: How does license assignment work? Is it per user or per device?
A: Licenses are consumed per active device. One license from your pool is used for each Android or iOS device that a user has currently activated using their work or school email.
Q: What happens if a user tries to activate a new device but has reached their personal license limit (or the organization is out of licenses)?
A: The user will be prompted within the Notewise app (after verifying their email on the new device) to deactivate one of their existing licensed devices. Deactivating an old device frees up that license activation for that user only, allowing them to activate a new device (provided they haven't exceeded their individual license limit). If the organization has no remaining available licenses, even deactivation won’t enable activation until an admin purchases more.
Q: Can licenses be managed or transferred between users?
A: Licenses belong to the organization's pool. While a user can free up their own activation by deactivating a device, that license remains linked to the user and is not transferable to others. Admins cannot manually reassign active device licenses to a different user.
Q: What does the "lifetime" Notewise Unlimited license include? Does it include cloud services?
A: The lifetime license grants access to all Notewise Unlimited features for the life of the product. It does not include separate subscription services such as Notewise Cloud sync or potential future premium add-ons.
Q: Can a user with a business license upgrade to Notewise Cloud or other plans individually? What happens then?
A: Yes. Having a business-provided Notewise Unlimited license does not prevent a user from independently purchasing a different plan (like Notewise Cloud) through their personal App Store or Google Play account. Once upgraded, their device will operate under the new individual plan, and the business license activation previously used by that device becomes available again for that same user only.
Administration & Management
Q: How do my users activate their licenses? Is there a guide for them?
A: Please share this link with your users.
Q: Who can manage the Business/School account?
A: Designated Administrators with email addresses belonging to the organization’s verified domain.
Q: What can administrators do?
A: Admins can view overall license usage (total purchased, used, available), track user/device activations, purchase additional licenses, manage user license limits (default and individual), configure optional access policies (whitelists/blacklists), manage other admins, and view payment history/invoices.
Q: What is the "Default License Limit"?
A: This defines the maximum number of concurrently active devices any single user can have using the organization's license pool by default (initially set to 1). Admins can adjust this global default.
Q: Can I allow specific users to activate more devices than the default?
A: Yes. Admins can assign a higher individual license limit to specific users. These users can then have Notewise Unlimited active on multiple devices simultaneously, consuming multiple licenses from the pool—provided enough are available.
Q: How can I control who within my domain can use licenses?
A: By default, any user from your domain can activate licenses (subject to their license limit and overall license availability). Admins can optionally restrict this access using email-based whitelists or blacklists.
Q: How do I add or remove administrators?
A: Use the "Settings" section in the admin portal to manage admins. New admins must use an email from your verified domain. The last remaining admin cannot be removed.
Data Privacy & Security
Q: Where is user note data stored? Does Notewise access our notes?
A: All note content is stored locally on the user’s Android or iOS device. Notewise does not access, view, or store your organization’s note content on its servers, regardless of the license type.
Q: What information is stored by Notewise for Business/School accounts?
A: We store administrative and licensing metadata only: organization name, domain, admin emails, license counts, activation records (linking user emails to device identifiers), user license limits, access policies, onboarding status, and payment history.
Legal & Policies
Q: Where can I find the relevant legal terms and privacy policy?
A: You can review our legal documents at the following links. Agreement to these terms is required during account setup:

Troubleshooting
Q: A user left the organization. Do we get their license back?
A: No. Once a user activates a license, it remains tied to that user—even if they leave the organization. If the user deactivates their device, that license becomes available again only for that same user, not for reassignment to others.
Q: I made the initial payment on the admin portal, but my account still shows "Pending Initial Payment." What should I do?
A: Allow a few minutes for processing and refresh the portal. If the status doesn’t update to "Active" within an hour, please contact Notewise support with your business name and domain.
